Do not thrust you business card on anyone. It is introduced only in case when contact person express interest in further contact. This does not necessarily happen at the first meeting. What should you do if some on introduced his/her business card? You should introduce you business card in exchange. But if further contact is unwanted introduce representative card instead of regular business card. The representative card does not have address, phone or other contact information not to evoke further relations. This sort of business cards is good for those people who often communicate with large audiences: politicians show stars, representatives of fashion business. The representative business card can also be used for registration at conferences, congresses, exhibitions.

You should always remember that a business card exchange is a whole ceremony, where every participator has his/her role, and it does not vary in any situation. The exchange sequence falls under a seniority rule: rank, starting with higher standing ones (if you unable to identify, try to figure it out in advance), if ranks are leveled, take into consideration age and than female gender privileges.

When introducing a card, one should turn it side up to make it available for reading: this gesture represents courtesy and attention to a recipient. If your partners are form Asia (Japan, Singapore, Taiwan) you should introduce your business cards to them with two hands and make a bow. The more import person is the lower the bow should be. Introducing business card (gifts, food) to representatives of Front Asia, one should hand it over with right hand only (local traditions suggest the left hand is dirty).

The ceremonial of business card exchange is also justified by the fact that cards has not only a name of the carrier but also his/her company’s name. You should always remember that its extremely inappropriate to take your business card from a pocket of your pants. Pant pockets are goods for carrying personal stuff, like handkerchief, medicine, lighter keys etc. Breast pocket is for decorate handkerchief and not for pens, combs and business cards. Pens and combs should be kept in the inside pocket of a jacket. Business cards should not be carried in there either. Where are you supposed to keep your business cards then? Anywhere else except mentioned. The choice is up to you.

One is not supposed to introduce his/her business card during lunch (exceptions are business lunches in restaurants).

A recipient to express his/her compliments should attentively (not necessarily for long) view the card and indispensably say out load the name of the owner of this card. This may also be a polite turn of phrase: “Thank you, Mr. Kononov”, “I appreciate it, margarita Aleexeevna”. Or merely: “Mr. President!”. Admit, do you often do that? No?

However try to imagine some one gives you a business card, which says “Shevchenco čëč Pshenyshnyuk” Will you be able to fluently pronounce a similar name? Moreover, there might be more than one partner. Or what if a foreigner is given a card, which says “Gochenour” or “Schlesinger”? Therefore, when introducing a card a person should clearly and slowly say his/her name. If you did not manage both to listen and read the name, you can apologies and ask to repeat the name. Do not be perplexed. It is better than wrongly saying the partner name later on.

When you visit a business partner you should always remember that hosts are to start exchange first, not the visitors. If you are a commercial or promo-agent you have a just right to counter argue wit me: “This rule might harm to successfully close a deal, if the host is the supposed customer since he might say that he will contact your company as soon as he/she makes up his/her mind. But it si you who want to get a commission for closed deal, but partner does not have your business card. Be patient. We are about to come with solution to this situation.

The thing is that when you hope to establish a contact or about to visit someone, you may send your business card or leave it in his/her office.

Let’s imagine you head for Moscow to attend some conference and you plan to visit several firms and organizations, where people are not acquainted with you yet. Taking into consideration a time of your visit, you send out your business cards to the mentioned recipients in advance and indicate the name of the recipient in the right upper corner (for example, “to Mr. Kravcov”, “to Sales manger” etc). However, will the recipients understand the aim of such an initiative? This issue needs another clarification. We will talk about it later.

This time let’s stress other ways of delivering business card to your host partner. One of good ways is sending you assistant- colleague or colleague of your partner who will present all the necessary information about you. In case you leave a business card in the partner’s office not personally but through a colleague, you need to fold the left corner of your business card. You do not necessary need to indicate recipient on it (your delegate will be responsible for introduction), but you will definitely need to identify an intent. Both cases require putting business cards into envelope (special corporate or any other). The envelope is sealed only in case of personally message, but not the business one. The envelope is sealed only when you send it via post services.

This way the visitor, who was not given a business card of the host partner, can  deliver his/her business card through secretary (or other partner) before or after a business meeting by indicating the purpose and putting it into unsealing envelope. The recipient is supposed to reply no later that 24 hours after he/she received the business card by sending a letter or a business card in exchange. Achieving this level of responsiveness is quite encouraging.
